Executive Assistant

Job Title: Executive Assistant

Position Summary:

This position reports to the Executive Director and contributes to our mission of providing home support services for seniors so they can age well in their own homes.

The Assistant supports the Executive Director in all matters related to human resources, program and service administration, and project management. The Assistant plays a key role in the preparation and follow-ups of Board of Directors meetings as well as in the preparation of documents for internal and external clients. In addition, the Assistant maintains positive relationships with all stakeholders of the organization: employees, board members, clients, volunteers, suppliers and partners.

Employees reporting to you: None

 

Main Tasks

Human Resources (35%)

  • Assist with payroll processing: receive timesheets, verify and submit them to accounting, remit pay stubs to employees.
  • Keep employee and HR system records up to date and perform necessary follow-ups: leave reports, progression on the salary grid, seniority list, training, performance evaluations, etc.
  • Support the recruitment process: post job offers, receive resumes, prepare application files, coordinate candidate interviews and testing, draft letters of offer and correspondence with unsuccessful candidates.
  • Register new employees to the various plans (pension plan, group insurance) and inform the accounting department.
  • Organize the orientation and integration of new employees: overview of the organization and services, schedule meetings with the Coordinators and the Executive Director, prepare the mandatory training schedule, etc.
  • Manage invitations and scheduling of meetings between employees and the Executive Director (team meetings, committee meetings, one-on-one meetings, end of probation and performance review meetings).
  • Manage the training and conference records: keep the list of mandatory training up to date, verify eligibility and register employees for external training and conferences.
  • Organize employees and volunteers’ recognition events.
  • Review and update the employee handbook.
  • Support the Executive Director in the management of human resources.
  • Any other related duties as delegated by the Executive Director.

Administration (50%)

  • Manage the Executive Director's agenda and prepare documents for her meetings.
  • Draft and prepare documents for PRCS Board and committee meetings (agendas, minutes, reports, recommendations, etc.) and conduct required follow-ups after meetings.
  • Organize the Annual General Meetings.
  • Follow up on grant approvals and prepare a monthly summary of funding requests.
  • Develop tools and systems to streamline operations management, data collection, evaluation of services and customer satisfaction, and reporting.
  • Perform data entry of various statistics and keep records up to date.
  • Make recommendations to improve the administration and performance of the organization.
  • Support the Executive Director in the development and management of various projects.
  • Any other related duties as delegated by the Executive Director.

Communications and public relations (15%)

  • Draft general correspondence (letters, memos, emails) for employees, partners and suppliers.
  • Respond to requests for information in writing and verbally.
  • Prepare PowerPoint presentations and other informational or promotional materials.
  • Write and send electronic newsletters and update website content.
  • Represent the organization at meetings or public events from time to time.
  • Replace the Executive Director from time to time.

Required Qualifications

Education and training

  • Post-secondary education in Business Administration, Human Resources, Office Administration, Communications or any other relevant field

Experience

  • At least three years of experience in an executive assistant position
  • Experience with the non-profit sector and board governance
  • Recent experience in Human Resources-related tasks
  • Experience in project management

Skills and competencies

  • Bilingual - French and English, spoken and written at a superior level
  • Excellent organizational and time management skills
  • In-depth knowledge of Office applications (Word, Excel, Powerpoint), the Teams environment and virtual meeting tools
  • Good knowledge of the operation of databases, online evaluation and survey tools, e-newsletter applications and web content management systems
  • Excellent interpersonal skills and ability to maintain respectful and positive relationships with all stakeholders: employees, board members, volunteers, clients, suppliers, partners, etc.
  • Good knowledge of accessibility principles applied to communications and the applications of the Ontarians with Disabilities Act
  • Interest and ease in learning new applications and technologies
  • Discretion and respect of confidential information
  • Creativity and attention to detail
  • Ability to work under minimal supervision

Other requirements

  • Proof of complete vaccination against COVID-19
  • Police records check - Level 3 for Vulnerable Sector issued within the last six months
 

Conditions

Work organization

  • Full-time non-union position (37.5 hours per week)
  • Regular working hours are daytime Monday to Friday. Occasionally, there may be meetings or events in the evening or on weekends.
  • Salary: from $34.76 to $36.95 per hour
  • Position attached to the Hawkesbury office
  • Wearing of mask or personal protective equipment according to public health guidelines

Physical and mental requirements

  • Office work requires sitting for extended periods of time (five hours or more)
  • Working on a computer requires visual concentration for long periods of time
  • Meetings ranging from one to several hours require good mental concentration
